How to Write a Perfect Report (CBSE Format)

Report writing is a factual description of an event or an incident. Whether you are writing for a school magazine or a local newspaper, a well-crafted report must be concise, objective, and clear.

For short compositions (like the 50-60 word limit questions), every single word counts. Here is the standard format and the golden rules to follow to score full marks:

1. The Structure

  • Headline/Title: Keep it catchy, brief (4-6 words), and write it in the center. Use block letters or capitalize the first letter of each word.

  • Byline: Just below the title on the right side or center, write “By [Name given in the question]”.

  • The Lead Paragraph (The 5 Ws and 1 H): This is the most crucial part of a short report. Your very first sentence must answer the fundamental questions:

    • What happened? (The event or incident)

    • When did it happen? (Date and time)

    • Where did it happen? (Venue or location)

    • Why did it happen? (The purpose of the event or cause of the incident)

    • How did it happen? (The method or manner)

  • The Details: In the next few lines, mention the sequence of events. For events, include participant numbers, activities, or chief guests. For accidents, include rescue efforts or damages.

  • The Conclusion: End with a summarizing statement, such as prize distribution, the current status of the rescue, or a concluding remark on the event’s success.

2. Golden Rules for 50-60 Word Limits

  • Stick to the Facts: Do not add personal opinions or flowery language.

  • Use Past Tense: Since a report is about something that has already happened, it must generally be written in the simple past tense (e.g., organized, collapsed, participated).

  • Be Direct: Avoid long, winding sentences. Combine your 5 Ws into a single, strong opening sentence to save words.

  • Write in a Single Paragraph: For a 50-60 word limit, do not break the text into multiple paragraphs. Keep it as one cohesive block of text.
